HRMS: How to setup and apply leaves ?

LEAVE MANAGEMENT
In this module, you can manage staff leave information including annual leave etc. OfficeCentral system allows staff to apply for leave and approver to approve it online. OfficeCentral can keep track of number of approved leaves and does not allow staff to apply for leave more than the prescribed limit. Before applying for leaves, we need to setup leaves first. Below are the steps:
  • Setup leaves type.
  • Setup entitlement settings.
  • Generate entitlements for staffs.

How to setup leaves type ?

1. To setup leave types, go to HRMS >LEAVES > LEAVE TYPES > VIEW LIST

2.  As shown below, you will see different types of available leave in the company in accordance to the Employment Act 1955 which have been sanction by the Government.

3. If you would like to add other type of leaves, go to the Add button to add type of leave.



4. Fill in the required information as shown below. Example:
  • Name : Compasionate Leave
    Description : In the event of death
    Minimum days to apply : -7
    Leave allocation : Annually
    Setting : Allow probation
    Leave type parent : None
5. Minimum days to apply is where staff need to apply for leave within the time frame set by the company. If 3, it means that staff are required to apply for leave no later than 3 days prior to the leave date. If -3 (negative number), it means that staff are required to apply for leave no later than 3 days after the leave date. 

6.    Once completed, click on the Save button.

7.    Additional information: 

Leave Allocation: The way leaves are granted to staff. If annually, it means that staff are getting the overall leave at the beginning of year.  If you are using the prorate system, thus you need to select “Daily” as your leave allocation.

Allow Probation: Tick “/” in the box if you allow probation staff to apply for leave. 

Leave Type Parent: If leave balance is depending on another leave, please select that leave as Leave Type Parent. For example, if you want each time staff apply.



HOW TO MODIFY DATA
You can modify the information of the selected data by clicking on the Edit link on the view list page.

HOW TO DELETE DATA
You can also delete unused data by clicking the Delete link on the right of the data that you would like to delete. Only unused data can be deleted and please remember that deleted data is not recoverable. Therefore, please ensure that you only delete the data that you are absolutely sure you do not want to use.

How to setup Entitlement?

This entitlement settings are based on job classification. Before add entitlement settings, make sure that you have already setup job classification and leave types.

1. To setup entitlements settings, go to LEAVES > ENTITLEMENT SETTINGS > VIEW LIST

2.  As shown below, you will see the default leave entitlements. If you wants to make changes on the entitlements, click Edit or if you don't wants that entitlements, click Delete.



3. If you wants to add new entitlements, click the button Add. You will see the page as shown below.



4. Or else, you can go to LEAVES > ENTITLEMENT SETTINGS > BULK ADD. You will see the page as shown below.

After finishing add the entitlement, click Save. Then, you can generate entitlements for staff.

6. To generate entitlements, go to LEAVES > ENTITLEMENTS > VIEW LIST.

7. Click button Generate Entitlement to generate entitlement for staffs as shown below. Here you can process the number of leaves to be given to your staff. They can apply for leaves if it is within their leave entitlement.



8. After generate, you will see the staffs entitlements as show below:



9. If you wants to make changes for that entitlements, click Adjust. Only "Days Brought Forward", "Days Entitled", and "Description" can be edit.

10. If you making any addition to “Leave Types” or modification to “Default Leave Entitlement Settings”, you need to reprocess the entitlement by click the button Reprocess Entitlement. After click, you will see the page as shown below:



11. After finishing all the steps, click Back to list to view entitlements.

How to apply Leave ?

HOW DO I CAN APPLY FOR LEAVE ?

1. Go to HRMS > LEAVES > MY LEAVES > APPLY. Before that you can view your entitlements in LEAVES > MY LEAVES > MY ENTITLEMENTS.

2. Apply days of leaves based on your entitlements. Below are the page of Leave Application. Fill in the required information.

 

3. Once done, click the “Save” button on the top right of the page. 

HOW TO APPLY LEAVE FOR MY SUPERVISEES' ?

1. Go to HRMS > LEAVES > MY SUPERVISEES'> APPLY. Before that you can view your entitlements in LEAVES > MY SUPERVISEES'> VIEW ENTITLEMENTS.

2. Apply days of leaves based on your supervisees' entitlements. Below are the page of Leave Application.



3. Fill in the required information. For example:
 
 Staff  Please choose staff want to apply the leave.
 LeavesType  Please choose the leave type.
 Start Date  Please enter leave start date.
 End Date Please enter leave end date.

4. Once done, click the “Save” button on the top right of the page. 

HOW TO APPLY LEAVE FOR MY STAFF ?

1. Go to HRMS > LEAVES > ADD NEW. You will see the page as shown below.



3. Fill in the required information. For example:
 
 Staff  Please choose staff wants to apply the leave.
 LeavesType  Please choose the leave type.
 Start Date  Please enter leave start date.
 End Date Please enter leave end date.
 Send Email Please choose yes or no whether want to send email to selected staff.

4. Once done, click the “Save” button on the top right of the page.
